Deposit and Equipment Responsibility

To proceed with the rental booking, a refundable deposit is required. This deposit will be returned within 24 hours after the rented items have been
inspected. The deposit will only be refunded if all items are returned in the same condition as when rented. All equipment is provided in good working condition and free from defects. By agreeing to this policy, the client assumes full responsibility for any damage incurred during the rental period. In the event of damage, the corresponding cost will be deducted from the deposit, and the remaining balance (if any) will be refunded within 24 hours.

Damaged or Defective Returns

If any rented item is returned with defects or damage that prevent it from being re-rented in its original condition, the client will be charged the current retail price of the product. The client will be notified of this decision prior to the charge being processed. The client accepts these terms and conditions.

Online Booking ONLY:

 

Credit/Debit Card Authorization

When you reserve your rental through Rentpartyshop’s online booking system, your credit or debit card will be securely stored in our system. By completing an online booking and leaving a credit or debit card on file, the client hereby authorizes Rentpartyshop to charge the card on file for any of the following, without further notice or additional authorization:

1. Costs of repair or replacement for damaged, lost, defective, or stolen rental items. Charges will be based on the current retail price of the product, and the client will be notified of this decision prior to processing the charge.

2. Cleaning fees for items returned in excessively dirty conditions.

3. Late return fees or additional rental time charges.

Changes to Rental Orders 

Any modifications to your rental must be requested at least 72 hours prior to the event date. Additional items may be added based on availability. We recommend submitting change requests as early as possible to avoid potential issues.

Delivery and Pick-Up Guidelines 

1. Delivery: A designated individual must be present to receive the items. A maximum 5–10 minute grace period will be allowed, subject to our availability. If no one is present after this time, the rental will be canceled, and 100% of the deposit will be forfeited.

2. Pick-Up: Clients must arrive at the scheduled pick-up time. A 5–10 minute grace period applies based on our availability. Late arrivals beyond this window will result in rental cancellation, and 50% of the deposit will be forfeited.

3. Delivery Restrictions: Items will be delivered to lobbies, front doors, or backyards only. Our staff will not enter the premises under any circumstances.

4. Item Handling: All items must be handled with care to avoid tears, scratches, or other damage. This includes transporting our items after being picked up/returned.

Cancellation Policy for Payment and/or Deposit:

  • 7 days or more before the event: You get a full refund of your deposit.
  • 5–6 days before the event: We keep 50% of the deposit.
  • 4–2 days before the event: We keep 100% of the deposit.
  • Same day or no show: We keep the full payment.

Emergency Rescheduling:

In the event of an emergency, if both parties agree to reschedule, the deposit will be applied to the new event date. If the rescheduled event is later canceled, the deposit becomes non-refundable. Our staff begins preparation days in advance, and last-minute cancellations impact availability for other clients.

Return Conditions

  • Rainy Days: Please ensure items are kept dry, as moisture may damage products. (Excludes tents and weight bags.)
  • Late Returns: A 5-minute grace period applies. After that, a fee of $1 per additional minute will be charged. Returns delayed by more than 2 hours will incur a full additional 24-hour rental fee.
  • Item Condition:
    • Excessively dirty items will incur a cleaning fee, to be discussed at the time of return.
    • Major damage resulting in total product loss will result in forfeiture of the full deposit.
    • Minor damage will result in a partial deduction from the deposit. All such cases will be discussed with the client.

RentPartyShop is not responsible for any injuries, accidents, or property damage arising from the use of rented items. The client assumes full responsibility for ensuring that all equipment is used safely and in accordance with any provided instructions. Children must be supervised by a responsible adult at all times when using rented items.

2. Weather & Outdoor Use Policy

Weather Conditions
The client is responsible for protecting rented items from adverse weather conditions, including but not limited to rain, wind, extreme heat, or snow. Any weather-related damage will be treated as client damage and charged accordingly.

3. Prohibited Uses

Sometimes items get misused (e.g., tents used for cooking under, tables overloaded, etc.). This should be clearly prohibited.

Rented items may not be altered, dismantled, or used for purposes other than their intended function. Cooking, grilling, or using open flames under or near tents is strictly prohibited. The client will be held liable for any resulting damage or safety hazards. 

4. Force Majeure (Uncontrollable Events)

Force Majeure
RentPartyShop will not be held responsible for failure to fulfill rental obligations due to events beyond our control, including but not limited to severe weather, natural disasters, power outages, accidents, strikes, or government restrictions. 

5. Photo & Marketing Permission 

Photo Consent:

With the client’s permission, RentPartyShop may take photos of the rental setup for marketing purposes. No personal or identifying details will be shared without consent.
