RentPartyShop Rental Agreement

Thank you for choosing RentPartyShop to be part of your special event. To ensure a smooth rental experience, please review and agree to the following terms and conditions.

By confirming a reservation, making a payment, or accepting delivery of rental items, the client agrees to all policies outlined in this agreement.

1. Deposit and Equipment Responsibility

To proceed with a rental booking, a refundable deposit may be required depending on the rental items. The deposit will be returned within 24 hours after the rented items have been inspected, provided that all items are returned in the same condition as when rented.

All equipment is provided in good working condition and free from defects. By accepting the rental items, the client assumes full responsibility for the equipment during the rental period.

If damage occurs during the rental period:

  • The cost of current retail price of the item may be deducted from the deposit.

  • The remaining balance (if any) will be refunded within 24 hours after inspection.

2. Damaged, Lost, or Defective Returns

If any rented item is returned damaged, lost, or in a condition that prevents it from being rented again, the client will be charged the current retail replacement cost of the item from the deposit or the credit card on file. The client will be notified before the charge is processed.

3. Credit/Debit Card Authorization (Online Bookings)

For online bookings, RentPartyShop uses Square to process payments securely.

By completing an online booking and leaving a credit or debit card on file, the client authorizes RentPartyShop to charge the card for the following if necessary:

  • Repair or replacement costs for damaged, lost, stolen, or defective items.

  • Cleaning fees for items returned excessively dirty.

  • Late return fees.

  • Additional rental time charges.

These charges may be processed without additional authorization, but the client will be notified when applicable.

4. Payment Methods and Remaining Balance

Clients may choose one of the following payment options when booking through Square:

Full Payment

Clients may pay the full rental amount at the time of online booking.

Partial Payment (Deposit)

Clients may pay 50% of the total rental cost as a deposit to secure the reservation.

The remaining balance must be paid in full at least 30 minutes before the scheduled delivery time slot on the event day.

If the remaining balance is not received within this timeframe:

  • RentPartyShop will not deliver rental items

  • The reservation may be treated as a cancellation under this agreement.

Delivery scheduling begins only after payment has been successfully processed and confirmed.

5. Cancellation Policy (Deposit)

Standard Cancellation

  • 7 days or more before the event

    Full refund of the deposit.

  • 5–6 days before the event

    50% of the deposit will be retained.

  • 4–2 days before the event

    100% of the deposit will be retained.

  • Same day or no-show

    Full deposit payment will not be refundable.

6. Square Payment Cancellation Policy

Due to preparation required before events, the following policy applies to payments made through Square.

If a client cancels within 24 hours before the event, payments already made will not be refunded.

However, the payment may be applied as credit for a future event under these conditions:

  • Credit must be used within 15 days from the original event date

  • Credit applies only to the same rental items, subject to availability

  • If the rescheduled event is cancelled again within the 15-day period, the payment will be permanently forfeited

This policy exists because our team prepares equipment in advance and reserves items that could otherwise be rented to other clients.

7. Delivery and Pick-Up Guidelines

Delivery

A designated individual over the age of 18 years old must be present to receive the items.

A 5–10 minute grace period will be allowed depending on staff availability.

If no one is present after this time:

  • The rental may be canceled

  • 100% of the deposit may be forfeited

Pick-Up

Clients must arrive at the scheduled pick-up time.

A 5–10 minute grace period applies based on availability.

Late arrivals beyond this window may result in:

  • Rental cancellation

  • 50% of the deposit being forfeited

Delivery Restrictions

Items will only be delivered to:

  • Lobbies

  • Front doors

  • Backyards

Our staff will not enter private premises or indoor spaces. We will pick up the items in the same manner

8. Return Conditions

Rain and Weather

Clients must ensure rental items remain dry and protected from rain or moisture, unless the item is specifically designed for outdoor use (such as tents or weight bags).

Weather-related damage will be treated as client responsibility.

Late Returns

A 5-minute grace period is allowed.

After this period:

  • $1 per minute late fee will apply.

  • Returns delayed more than 2 hours will incur a full additional 24-hour rental fee.

Returned Item Condition

  • Excessively dirty items may incur a cleaning fee.

  • Major damage resulting in total loss will result in full deposit forfeiture.

  • Minor damage may result in partial deposit deductions.

All damage charges will be discussed with the client.

9. Marquee Tent Policy

Installation Requirements

Marquee tents may require staking or drilling into grass, soil, or pavement for safe installation. Or Barrels might require (client is responsible for providing water to fill the barrels)

The client must inform RentPartyShop of any:

  • Underground water lines

  • Irrigation systems

  • Electrical lines

  • Utility pipes

If this information is not provided and damage occurs during installation, the client assumes full responsibility.

If drilling into pavement is required, small holes may be created for anchors. RentPartyShop will seal these holes with cement after the event.

Safety and Use

The following are strictly prohibited under or near tents:

  • Open flames

  • Fire pits

  • Fireworks

  • Any activity that may damage the tent structure

Damage Responsibility

Clients are responsible for any damage caused by:

  • Weather

  • Improper use

  • Negligence

  • Interference with tent anchors or weights

Replacement or repair costs may be charged to the card on file.

10. Safety and Liability Disclaimer

RentPartyShop is not responsible for injuries, accidents, or property damage resulting from the use of rented items.

The client assumes full responsibility for ensuring equipment is used safely.

Children must always be supervised by a responsible adult when using rented equipment.

11. Weather & Outdoor Use Policy

The client is responsible for protecting rental items from adverse weather conditions including:

  • Rain

  • Wind

  • Snow

  • Extreme heat

Weather-related damage will be treated as client damage.

12. Prohibited Uses

Rental items may not be altered, dismantled, or misused.

Cooking, grilling, or open flames under tents is strictly prohibited.

Clients will be responsible for any resulting damages.

13. Force Majeure

RentPartyShop will not be held responsible for failure to fulfill rental obligations due to events beyond our control, including:

  • Severe weather

  • Natural disasters

  • Power outages

  • Accidents

  • Government restrictions

  • Labor strikes

14. Photo & Marketing Permission

With the client’s permission, RentPartyShop may take photos of the rental setup for marketing and promotional purposes.

No personal or identifying information will be shared without consent.

Agreement Acceptance

By confirming a booking, making payment, or accepting rental equipment, the client acknowledges that they have read, understood, and agreed to all terms and conditions outlined in this agreement.
